 How to Send a Quotation

Do you want to customise your quotations and send them to your customers in an organised manner? Then, you can follow the steps laid out in this video…

To send a quotation to a customer, click on Quotations on the menu bar. This opens a Quotations page that lists your previous quotations. Here, you can filter for previous quotations to your guests and their details. For more information about using the filters, please see the video How to View and Utilise Reports or refer to our User Guide, section 5.

 

Quotations can be sent to an individual or corporate account. In corporate quotations, a corporate name and guest email address can be pre-set to automatically populate. The corporate discounts can be added before sending out the quotation.

Click on Individual Quotation or Corporate Quotation as required. This will open a new page with guest details and quotation details. Under Guest Details and Quotation Details, enter the information as required. Notes or Footer Notes can be added at the bottom of the screen.

Once you have filled in all the details, click Save & Select Properties.

You will now see the Booking Quotations page. Scroll down to the Properties section. This shows a list of your properties and their rates. You can search and filter through the available properties on specific dates requested by your guests. You have the option of providing multiple choices of the area, room type and the room rates for the date requested. To check multiple properties from the list, click on the tick box.  Once the selections are made, please click Save & Send.

You have now successfully sent a Quotation to your guest!

 How to Respond to a Quotation Request

If you want to respond to an enquiry or a quotation request from your guests, please follow the steps laid out in this video…

To view and respond to a quotation request from your guest, click on Quotations on the menu bar.  The quotations requests will be marked as New in the Status column. Click on the pencil-edit icon. This will open a suggestion quotation page with the guest information prepopulated.

You have the option of providing multiple choices of the area, room type and the room rates for the date requested. To check multiple properties from the list, click on the tick box.  Once the selections are made, please click Save & Send. The Quotation page will show all the details of your sent mail with a status marked as Sent.

You have now successfully replied to a Quotation request to your guest!

 How to Request & Publish Reviews

Let your reviews speak for you! Publish a few reviews for your properties by your customers on your website. If you want to request a review, or just add or edit information you would like to include in the reviews, you can follow the steps laid out in this video…

To request a review from your customer, choose a booking of the customer from CloudView. For more details to view a booking please see the video How to Check-in and Check-out Guests or refer to our User Guide, section 3.

Once you are in the booking window, scroll all the way to the end of the screen. Click on Send Review.  A new window will open with the already formatted review email. For more details on editing the Request Reviews Email, please see the video How to Amend Email & Print Templates or see our User Guide, section 1.5. Click Send Mail.

This will send your customer a link, which will enable them to write a review. This will automatically be sent to the ALAVEX system for you to see.

You have now successfully sent an email request for a review!

 

To add a new review, click on Reviews on the menu bar.  Click on Add New Review. You can add or edit any of the information listed here, such as the Customer Name, Company Name or the Title for review.

If you wish to keep your guest name anonymous, select Anonymous. You can also upload photos of your choice by clicking on Choose File and selecting a photo from your fileFill the form as required and click on Submit.

If you wish to edit any existing reviews before publishing, choose a review you would like to publish, and then click on the pencil-edit icon on the left hand side. . Once you have completed your edits, click on Submit.

You have now successfully published your reviews!
